Mastering Microsoft Teams for Efficiency
Mastering Microsoft Teams for Efficiency
I’ve recently completed a CPD-certified Microsoft Teams course and gained 10 CPD points. This gives me fresh, practical skills I can use every day as an Executive PA.
Streamlined Communication
I learned how to format messages clearly and keep conversations organised. This helps me find information fast. Also, it reduces the risk of miscommunication when I manage busy inboxes and fast-moving projects. As a result, executives get the facts they need at a glance.
Managing Teams and Channels
I practised creating Teams and channels that mirror how a team works in real life. Then I set permissions and organised files so everything sits where it should. This prevents documents and discussions from becoming scattered. Consequently, collaboration stays tidy and efficient.
Meetings Made Simple
I now schedule, host and run meetings using Teams tools. For example, I use live reactions so attendees can give feedback without interrupting the flow. I also use the whiteboard to capture ideas in real time. In practice, these features keep meetings lively and productive.
Collaboration and Integration
I explored apps such as Planner, Forms and Viva Engage. Using those apps within Teams means I can manage tasks, gather feedback and encourage engagement in one place. Additionally, integrating apps reduces the need to switch between multiple tools. That saves time and keeps everyone focused.
Finding and Organising Files
I learned best practices for storing, finding and organising files in Teams. I now set up folders and use search effectively. As a result, I can locate documents quickly when executives ask for them. This speeds up reporting and decision making.
Staying In Control
Finally, I refined my notification and settings workflow. I now filter interruptions and prioritise important alerts. Therefore, I stay on top of what matters without being overwhelmed. This keeps my focus sharp throughout the working day.
Why This Matters For An Executive PA
These skills directly support my role. I can run meetings that start on time and finish on purpose. I can keep project files organised and accessible. I can also streamline team communications so leaders receive concise updates. In short, Teams adds structure to the day and boosts overall efficiency.
